Session Co-Chair Guidelines
Thank you for agreeing to co-chair a session. In this role, you will support the Session Chair by assisting with the Q&A component and helping ensure smooth audience engagement throughout the session.
Your Role
As Co-Chair, your primary responsibility is to support the facilitation of questions from both the conference app and the audience in the room. You will work alongside the Session Chair to ensure questions are managed efficiently and that presenters and delegates have a positive and interactive experience.
Before the Session
- Check the online program to confirm your session time and room.
- Review the session format so you are familiar with when Q&A will take place (after each presentation or at the end of the panel).
- Download and log into the conference app in advance so you are ready to access incoming questions.
- Arrive in the session room 15 minutes early to meet the Session Chair and presenters.
- Ensure you are familiar with how to access the Live Q&A feature in the app.
During the Session
- Your role is focused on managing and facilitating audience questions:
- Monitor the Live Q&A feed in the conference app throughout the session.
- Identify relevant or popular questions and be prepared to read them aloud when invited by the Session Chair.
- Assist in facilitating in-room questions by helping manage the microphone:
- Pass the microphone to audience members asking questions, or
- Coordinate a volunteer ‘runner’ if appropriate.
- Ensure audience members use the microphone so all attendees can hear the discussion.
Question & Answer Support
- Be attentive to both app-based and in-room questions.
- Prioritise clear, concise, and relevant questions.
- If needed, help prompt audience participation by encouraging questions.
- Work with the Session Chair to ensure Q&A stays within the allocated time.
Accessing Questions in the App
- Open the conference app and navigate to your session under ‘PROGRAM’.
- Select ‘Live Q&A’ to view incoming questions.
- Questions will appear in a list under the question box.
General Support
- Be ready to step in to assist with audience engagement at any time.
- An audiovisual technician will be available if technical support is needed.
At the End of the Session
- Assist with any final questions if time allows.
- Support the Session Chair in wrapping up the Q&A portion smoothly.
